Now it’s time to dive into the details. One of the most important tasks on your list is crafting your wedding announcement.

This is your moment to share the excitement of your big day and set the stage for an incredible adventure with your loved ones. But where do you even start?

In this article, you’ll learn how to write the perfect destination wedding announcement, complete with essential tips on wording and etiquette.

How to Craft Your Destination Wedding Announcement: A Checklist

1. Create Your Guest List

When planning a destination wedding, the first step is creating your guest list. Think about who you want to share this unforgettable experience with—who would make your week-long getaway even more special? Do you envision a large celebration or a more intimate gathering?

Keep your budget in mind as you create your list. It’s crucial to avoid inviting more guests than you can comfortably host, especially if everyone decides to attend.

While it’s likely that some will decline your invitation, it's best to plan as if you’ll have full attendance. This way, you can host your dream celebration without any financial stress, ensuring a memorable experience for everyone involved.

2. Send Out Your Destination Wedding Announcements: Etiquette and Timelines

3. Open with a Sentence That Sparks Excitement

The first line of your wedding announcement should grab attention and set the tone for your special day. Clearly state the names of the couple, and tailor your wording to match the vibe of your wedding. For a formal event, you might write, “You are cordially invited to…” whereas a more laid-back celebration could start with, “We are thrilled to invite you to…”

4. Highlight the Date

Make sure the date of your wedding stands out. It should be clearly visible on your save-the-date card and any related announcements. If you have a wedding website, include the link so guests can easily find more information.

5. Include the wedding location

Even if you haven’t finalized your venue yet, be sure to highlight the destination. This gives your guests an idea of what to expect and can inspire the theme of your announcement.

You might even want to mention any specific attire suggestions that fit the locale and time of year or the dress code for the venue and celebration.

6. Share Travel, Accommodation, and Itinerary Details

If you have already chosen your venue or can specify which airport your guests should fly into, share that information on a detail card, not the main card.

You don’t want to overwhelm your guests with too much information crammed onto the announcement card. (Alternatively, you can list this information on your wedding website.)

Let guests know about any planned pre- or post-wedding activities, as well as accommodation options. If you’re covering any travel or accommodation costs, make sure to mention that too!

If you’re working with a travel agent, provide guests with the agent’s contact information, making it easy for them to start booking their travel arrangements. Having a dedicated contact person helps ensure that guests feel supported and informed.

7. Invitation to Follow or RSVP

Since your wedding announcement is sent out well in advance, guests may not be able to RSVP right away. Including the phrase "invitation to follow" informs them that a formal invitation will arrive later, complete with an RSVP request.

However, if you have many details already sorted out, consider providing a way for guests to RSVP in advance. You could direct them to your wedding website and display an RSVP form there for anyone who is impatient to RSVP before the official invites are sent. Alternatively, you could set a deadline for them to reach out to your travel agent and book their room.

8. Thank Your Guests

Finally, don’t forget to express your gratitude! Let your guests know how much you appreciate their presence at your wedding and how excited you are to celebrate together.
